1.Our Commitment
Welcome to Playpod Education. We built this platform with a single purpose: to give a voice to the educational community through secure educational tools. We believe privacy is a fundamental human right, especially for minors. We do not sell your data, we do not show advertisements, and we do not build behavioral profiles of students. Our business model is based on providing great software, not on monetizing personal information.
2.Our Legal Role (GDPR, COPPA, AND FERPA)
To comply with the highest global privacy standards, including the European General Data Protection Regulation (GDPR) and the U.S. COPPA law, our legal responsibilities are strictly defined:
- For Educators: We act as the Data Controller. We collect basic information to manage your account.
- For Students (Minors): We act strictly as the Data Processor. We process educational data solely on behalf of the Educator or Educational Institution, who acts as the Data Controller and bears the non-delegable responsibility of obtaining legal consent from parents or guardians before using the platform.
3. Information We Collect and How We Use It
A. From Educators and Account Administrators:
When registering an account, we collect:
- Full name and email address.
- Login credentials and the name of the Educational Institution (optional).
- Note on Payments: Payment processing is securely and independently managed by our authorized reseller or Merchant of Record. We never collect or store your full credit card or bank account details on our servers.
B. From Students (Minors)
We have intentionally designed our system under the Privacy by Design model to avoid collecting Personally Identifiable Information (PII) from minors. Students do not provide an email or their real name to use our app. They access the platform exclusively using:
- A Class Code generated by their Educator.
- An anonymous “Alias” or nickname.
- The educational material they generate (audio files/podcasts, texts, summaries, test responses).
(We strongly advise Educators to instruct students not to include real names or personal data in their recordings or texts).
C. Usage Data and Product Telemetry (Event Tracking)
To ensure the proper technical operation of the platform and continuously improve our educational tools, we collect usage and telemetry data on how users interact with the software (e.g., button clicks, load times, feature usage frequency, or error logging).
- Educator Dashboard: This information helps us understand how administrators use the platform to optimize the experience based on our Legitimate Interest.
- Student Environment: Any analytics or event tracking within the student interface is performed on a strictly anonymous and aggregated basis. We do not create behavioral profiles of minors, nor do we share these usage events with advertising networks or third parties for marketing purposes.
4.Service Providers and Data Location
Our databases and files are securely hosted using industry-leading cloud infrastructure (e.g., AWS, Render). To ensure strict compliance with regional data sovereignty laws (such as GDPR), we employ regional data hosting. This means if your educational institution is located in the European Union, your data is stored on servers physically located in the EU.
Email Communications: We use third-party providers (e.g., Mailchimp) to send administrative emails strictly to educators or educational institutions (never to students). This transfer complies with the EU-U.S. Data Privacy Framework.
5.Data Retention and Blocking
We retain Educator account data and student files as long as the Educator’s account remains active.
- Plan Changes: If a Premium subscription ends or a refund is processed, private audio files are not deleted, but are automatically blocked (changed to “Draft” status) to protect minors’ privacy, in accordance with our Refund Policy.
- Permanent Deletion and Legal Blocking: If the Educator voluntarily deletes their account, or deletes a specific student’s file or alias from their dashboard, all associated educational data (audio files, aliases, and student material) is permanently and irretrievably purged from our production servers. However, to comply with mandatory legal obligations (tax, accounting, and defense against claims), the Educator’s basic registration and transactional data will not be immediately deleted. Instead, it will be securely blocked and isolated for the statutory limitation periods required by law (typically between 4 and 6 years), held exclusively at the disposal of Public Administrations and judicial authorities. Once this period expires, it will be completely deleted.
6.Your Privacy Rights
Regardless of where you reside, we grant all our adult users the highest standard of privacy rights. Educators have the right to Access, Rectify, Delete (Right to be Forgotten), Restrict, and Export their data at any time directly from their account settings or by emailing us at contacto@playpod.education.
If a parent or guardian wishes to access, modify, or delete a student’s audio file, they must directly contact the Educational Institution or Educator, who has the tools to instantly delete any file from their dashboard.
(Note for users in Spain/Europe: You have the right to lodge a complaint with the Spanish Data Protection Agency – AEPD, if you believe that the processing of your data does not comply with current regulations).
